Vendor Application for the

Umpqua Valley ComicFest

Thank you for your interest in being a vendor at the Umpqua Valley ComicFest 2025!

Please send in examples of your work so that we can make sure that you are a good fit for our event. We curate our vendors to make sure that we don’t have duplicates, ensuring that you are con’t competing with each other for business.

Umpqua Valley ComicFest will be one day for 2025 on November 8th. Admission is free!

Please submit this vendor agreement by checking the I Agree box at the end of this form. You will receive an answer by July 31st.

Paying your booth fee:

  • If you receive an email of confirmation then you will be required to pay your fee by August 15th to reserve your spot.

  • Your booth fee is non-refundable.

  • If you do not pay your fee by August 15th your spot will be offered to the next vendor on our list.

Things to Know:

Umpqua Valley ComicFest will be held at the Sutherlin Community Center in downtown Sutherlin, OR, on Saturday, November 8th, 2025 from 10am to 5pm. This is an indoor event. Setup will start as early as 6:00 am and will need to be completed no later than 10:00 am. Breakdown no earlier than 5:00 pm on Saturday.

Since this is a brand new event we aren’t quite sure what to expect for attendance. Somewhere between 1k and 2k since it is the only comic con in the area. Buzz is already building. We will be marketing with What to do in Southern Oregon in the RogueValley as well as using radio in the Umpqua Valley and are partnering with the Sutherlin Area Chamber of Commerce.

Tables and chairs will be provided. Just let us know how many you will need. Please bring your displays, signage. This can be as elaborate as you like, or as simple as a 5-foot table and chair. Do bring signage for your business. Booth spaces will be approximately 8 feet x 10 feet. No generators are allowed. We will not be able to guarantee specific placement of your booth.

Please remember to plan to merchandise your booth space! This is a very visual event, and the more attractive, interesting, and decorative your booth is, the more customers will stop and shop. This can include signage and displays. Think vertically—not just laying items flat on a table. Be creative!

Single Booth pricing: $30 for the day

Please request a second booth space as early as you can.

We cannot guarantee where you will be located, but we will be thoughtful about placement. We will do our best to accommodate your needs.

Your booth fee is non-refundable. If your plans change and you need to cancel, please notify us so we can adjust the vendor area layout.

To complete your application, please read the terms and conditions below for participating in the Umpqua Valley ComicFest 2025, check the terms approval box, and fill in the other boxes (your name, etc.). 

By checking the I Agree box below, I hereby acknowledge that I have read and understand the general terms and conditions. By signing below, I agree to allow Umpqua Valley ComicFest/Rogue Comic Con or its representatives to contact me by phone and/or email with information regarding my vendor application.

Participants will provide their displays, extension cords if needed. Setup will be between 6:00am - 9:30 am on 11/08/2025. All setup must be completed by 10:00 am. Participants must not breakdown or remove any equipment until after 5:00 pm on 11/08/2025. 

Alcohol or drugs are not allowed on Umpqua Valley ComicFest/Rogue Comic Con premises. 

Weapons are not allowed on Umpqua Valley ComicFest/Rogue Comic Con premises.

The undersigned voluntarily chooses to participate in the Umpqua Valley ComicFest presented by Rogue Comic Con. The undersigned therefore knowingly, freely, and voluntarily assumes all risk of injury and waives any claim, right, cause of action or demand for loss, damage, destruction or injury of any kind whatsoever, including but not limited to: Cost, loss of service, expense and/or compensation known or unknown, now or in the future, arising out of the undersigned's participation in the above referenced activities, against the City of Sutherlin, Sutherlin Chamber of Commerce, Umpqua Valley ComicFest/Rogue Comic Con, and all the officers, employees, agents, and assignees thereof, respectively.

Booth fee is non-refundable.

The undersigned consents and agrees that photographs and video taken during the Umpqua Valley ComicFest may be used for promotional purposes. Return of this agreement shall be deemed acceptance of these provisions.

Rogue Comic Con is a rain or shine event and will not be cancelled.
